Your first submittal in 5 minutes
Video coming soon — the written steps below cover everything.
Before you start
- SprinkFlow installed on Windows (download here) and signed in.
- Your project plans as a PDF. Any set works — even a single sheet with a sprinkler legend on it.
Everything in this lesson runs on your machine. Your plans are not uploaded anywhere.
Step 1 — Start the project
- Open SprinkFlow to the Submittal workspace.
- Enter the project name and address. This is what prints on the cover and in the footer of the package.
- Check your contractor card — company name, address, license number, and logo. You set this once and every future submittal reuses it.
Step 2 — Drop in your plans
- Drag your plan PDF into the plans area (or browse to it).
- SprinkFlow scans the set locally — reading the sprinkler legend, schedule, and notes — and suggests the materials it expects the job to need: heads, pipe, fittings, hangers, valves.
- The scan also picks up project details (name, address) if you skipped Step 1. Fastest path: drop the plans first and let it fill the form.
No plans handy? Skip this step entirely. You can build a submittal by picking items straight from the catalog — the scan is a head start, not a requirement.
Step 3 — Pick your materials
- Review the suggested items. Check what belongs in the package, uncheck what doesn't.
- Browse the catalog by category — Sprinklers, Pipe, Fittings, Hangers, Valves, and more — and check anything the scan missed. The search box matches manufacturer names, models, and SIN numbers.
- Have a cut sheet the catalog doesn't? Add your own PDF and it becomes a catalog item you can reuse on every job after this one.
Step 4 — Choose a cover
- Open the cover gallery and click through the templates — from copier-proof black & white to design-forward layouts.
- Star the ones you like. Starred covers pin to the top of the gallery on every project.
Step 5 — Generate
- Hit Generate and choose where to save.
- SprinkFlow assembles the package: cover, table of contents with clickable links, every datasheet in category order, bookmarks in the PDF sidebar, and page numbers throughout.
- The finished PDF opens automatically. If your machine blocks that, use the Open PDF button right next to the status message.
What you just made
Open the sidebar bookmarks in any PDF viewer and you'll see the whole package organized by category and item — the same structure a plan reviewer navigates. Click any line in the table of contents and it jumps straight to that datasheet. That structure is why these packages move through review without the "please provide an index" comment.
Make it yours: the next lessons cover adding your own datasheets to the catalog (A2), cover templates in depth (A3), and what the AI cut-sheet reader fills in for you (A4).
